How to structure a social media retainer clients actually renew
Most retainer disputes come from one thing: the client can’t see what they’re getting. Here’s how to package, show and bill a retainer so renewals are easy.
A retainer is a promise: a set amount of work, every month, for a set fee. When it goes wrong, it’s usually not the price. It’s that the client can’t see what they got, so every renewal becomes a negotiation.
List the deliverables, not the hours
Clients don’t buy hours; they buy posts, reels, reports and results. Write the retainer as a list they can count:
- 12 feed posts
- 4 reels
- 8 stories
- 1 monthly report
Keep your own hours and costs on your side, so you know which retainers make money. That’s a separate question from what the client sees.
Show usage as the month goes
If the client can see “9 of 12 posts delivered” at any time, two things happen. They stop asking for updates, and they notice when they’re getting good value. When usage is hidden, clients assume the worst.
Decide what happens to unused work
Agree up front whether unused deliverables roll over, expire, or can be swapped. Write it into the plan. Most disputes start with a client who thinks they’re owed something you thought had expired.
Price for the work, not the competition
Work out what each deliverable costs you to make, including revisions and account management, and price the package above that with a margin you’re happy with. If you don’t know your costs per client, start tracking time for a month. You may find one “big” client is costing you money.
Make paying the easy part
Send a proper GST invoice on the same date every month and let clients pay online. Autopay is even better: the retainer renews without anyone having to remember it.
Review every quarter
Every three months, look at what was delivered and what the client actually used. Suggest a bigger or smaller plan if it fits better. Clients renew more happily when they feel the plan was made for them.
Tickmarkd’s monthly plans work this way: deliverables listed up front, usage shown to both sides, jobs created each month and payment through your own Razorpay. And if you want to know which retainers are profitable, Tickbit tracks time and profit per client.
