Moving your agency off WhatsApp groups: a one-week plan
You don’t have to leave WhatsApp. You have to stop running client work inside it. Here’s a week-long plan to move clients over without upsetting anyone.
WhatsApp is how Indian clients like to talk, and that isn’t going to change. The trouble starts when the work itself lives there: briefs, files, approvals and feedback, all scrolling past in a group alongside “good morning” messages.
The goal isn’t to leave WhatsApp. It’s to keep the conversation there and move the work somewhere it can’t get lost. Here’s how to do it in a week.
Day 1: decide what moves
Write down the four things that cause the most trouble in your groups. For most agencies it’s these:
- New requests and briefs
- Files and references
- Approvals of plans and designs
- Payment reminders
Those move to a portal. Quick questions, updates and relationship chat can stay on WhatsApp.
Day 2: set up your services
For each service you sell (design, video, social media, SEO), set up a short request form with the questions your team always ends up asking: size, deadline, references, copy. This alone removes most of the back-and-forth.
Day 3: start with your friendliest client
Pick one client who likes you and is reasonably organised. Send them an invite link on WhatsApp, in the group they already use: “From this month, we’ll share your plan here so you can approve it with a tap.”
Day 4: move the plan, not the history
Don’t try to migrate old chats. Paste this month’s content calendar into the portal and share it. History can stay where it is.
Day 5: answer in the right place
When the client sends a request in the group anyway (they will), reply kindly with the link: “Got it, I’ve added it here so the team can pick it up.” After two or three times, most clients start there on their own.
Days 6 and 7: add two more clients
Once one client works, bring in two more. Within a month, the groups get quieter and your team stops hunting for files.
What to say to clients
“We’re moving your plans and approvals to a simple link so nothing gets lost in chat. You don’t need to download anything. You can still message us here any time.”
That last sentence matters. Clients don’t want to lose the easy line to you. They just don’t want things to go wrong.
